Planner Scheduler

About the Role

Axis Europe is looking for a proactive and organised Scheduler to join our busy Repairs & Maintenance team. You’ll be part of a friendly group of five — three Schedulers, one Supervisor, and one Administrator — working together to support around 40 operatives delivering reactive maintenance services within social housing.

This role is ideal for someone who thrives in a fast-paced environment, enjoys problem?solving, and can balance the needs of residents, operatives, and the wider business.

Key Responsibilities

  • Allocate and schedule daily reactive maintenance jobs to a team of 40 operatives.

  • Monitor operative diaries to maximise productivity and minimise downtime.

  • Respond to incoming calls, emails, and system alerts to ensure urgent repairs are prioritised.

  • Manage job updates in real time, ensuring accurate information is recorded on the system.

  • Liaise with residents, operatives, supervisors, and subcontractors to coordinate appointments.

  • Rearrange appointments when required due to emergencies, access issues, or operative availability.

  • Track job progress to ensure KPIs, SLAs, and contractual requirements are met.

  • Provide excellent customer service, ensuring residents feel informed and supported.

  • Work collaboratively with the wider team to resolve scheduling conflicts or operational challenges.

  • Escalate issues such as safeguarding concerns, repeated no?access, or complex repairs to the Supervisor.

  • Support the Admin team with general office tasks when needed.

  • Contribute to a positive team culture and continuous improvement of scheduling processes.

Skills & Experience

  • Experience in scheduling, coordination, or a fast-paced administrative role (ideally within social housing or maintenance).

  • Strong organisational skills and the ability to multitask under pressure.

  • Confident communicator with a calm, professional manner.

  • Good IT skills, including experience with scheduling or housing management systems.

  • Ability to work well as part of a team and build strong working relationships.

  • Problem?solving mindset with a focus on efficiency and customer satisfaction.
